What should a construction ERP actually do? The complete checklist (2026)
Ask the internet what a construction ERP should do and you'll get the same answer fifty different ways — vendor brochures, consultant listicles, forum threads. We collected the lot, removed the duplicates and the sales language, and what's left is a checklist of 21 capabilitiesthat come up again and again. If you're evaluating any construction software — ours included — this is the list to score it against.
A useful checklist has to include the boxes the vendor doesn'ttick. Ours does — two of the 21 are things we deliberately don't build, and we'll tell you why.
The work itself (site & project)
1. Project planning & scheduling.Phases, milestones, stage-gating, and a schedule the site actually updates. If progress lives in the engineer's head, the office is always two weeks behind reality.
2. Daily site records. Logs, RFIs, submittals, punch lists — filed from the site, the same day, with photos that carry a timestamp and a location. This is what wins disputes later.
3. QC inspections with checklists.Pre-pour checks, cube-test registers, material certificates. A pass/fail checklist with proof attached beats “the engineer said it looked fine.”
4. Drawings & documents. One place for the current revision — not seven WhatsApp forwards of final_FINAL_v3.pdf.
The money (where ERPs earn their keep)
5. BOQ & estimating backed by a reusable rate library, so a quote takes an afternoon instead of a week. 6. Budget vs actual per project — and better, a cost-to-complete forecastthat tells you the projected final cost while there's still time to act. A report that says you went over budget three months ago is an obituary, not a control.
7. Procurement with a 3-way match. The PO, the goods receipt, and the vendor bill checked against each other before money leaves. This one habit catches more leakage than any other feature on this list.
8. Inventory across sites. Indents, issues, transfers between godowns, reorder alerts. Every bag of cement requested → approved → issued, on the record.
9. GST compliance — e-Invoice (IRN), e-Way Bills and TDS handled inside the billing flow, under your own GSTIN. 10. Billing & collections — RA/stage bills, payment links, recurring invoices, and receivables you can chase. 11. A revenue forecast— what's actually expected to arrive in the next three months, from invoices due, recurring billing, and the quote pipeline (counted honestly, not multiplied by an imaginary win-rate).
12. Accounting reportsyour CA will accept — P&L, cashflow, balance sheet — plus an export to Tally, because your CA lives in Tally and that's fine.
The people
13. CRM: leads → quotes → project without re-typing a number. 14. A client portal where approvals and sign-offs happen on the record. 15. Attendance & statutory payroll — GPS check-ins flowing into a payroll engine that knows EPF, ESI, Professional Tax and TDS. 16. Equipment & maintenance — a register with hour meters, work orders, and services that schedule the next one automatically.
17. Roles, audit trail & approvals. A site engineer who sees work but never money. An audit log nobody can back-date. Approval chains for the decisions that cost lakhs.
18. Communication built in — project channels and DMs in the same app as the work, plus 19. a mobile app that works at low-signal sites, and 20. Indian languages: a site supervisor in Salem or Belagavi shouldn't need English to mark attendance.
The two boxes we don't tick — on purpose
21. BIM integration and formal tender management.Real features, genuinely useful — for EPC contractors and infrastructure majors with dedicated BIM teams and bid departments. For a 1–50-person builder they add cost and complexity you'll never use. The same goes for multi-company consolidation: if you have one firm, you don't need a CFO-suite. We'd rather say that plainly than tick a box you'll pay for and never open.
